We strive to be fair and transparent in our refund procedures while balancing our commitments to suppliers and partners. Please read this policy carefully before making a booking, as it contains important information about your rights and obligations.

Cancellation and Refund Terms

The refund amount you are eligible to receive depends on when you cancel your booking relative to your departure date. Our standard cancellation fees are as follows:

Deposits

Most of our travel packages require a deposit at the time of booking to secure your reservation. Deposits are generally non-refundable, as they are used to secure services with our suppliers on your behalf. The amount of the deposit varies depending on the type of travel package and will be clearly stated during the booking process.

In certain circumstances, such as booking more than 6 months in advance, we may offer a "flexible deposit" option, which allows you to transfer your deposit to another booking if your plans change. Terms for flexible deposits will be specified at the time of booking.

Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance that includes cancellation coverage. Travel insurance can provide protection against financial loss if you need to cancel your trip due to covered reasons such as illness, injury, or other unforeseen circumstances.

UnbiasedPlatform is not an insurance provider, and any claims for reimbursement under your travel insurance policy must be made directly with your insurance company. We are happy to provide documentation to support your insurance claim if needed.

Special Circumstances

Cancellation by UnbiasedPlatform

If we cancel your booking for reasons within our control, you will be entitled to a full refund of all payments made to us. Alternatively, you may choose to accept an alternative travel package of comparable standard if available.

Force Majeure Events

In the event of cancellation due to "force majeure" events (circumstances beyond our reasonable control, including but not limited to natural disasters, acts of terrorism, civil unrest, pandemics, or government travel restrictions), our standard cancellation policy may be modified. We will make every effort to provide a fair resolution, which may include:

  • Rescheduling your trip for a later date at no additional cost
  • Providing a travel credit for future use
  • Offering a partial refund after deducting non-recoverable costs

Each force majeure situation will be evaluated on a case-by-case basis, taking into account our ability to recover costs from suppliers and the specific circumstances of the event.

Personal Emergencies

In cases of serious illness, injury, or bereavement that prevent you from traveling, we may, at our discretion, offer more flexible refund terms than our standard policy. Supporting documentation, such as a medical certificate or death certificate, will be required in such cases.

Visa Refusals

If your visa application for the destination country is denied, you may be eligible for a partial refund. To qualify for this refund:

  • You must have applied for the visa in a timely manner
  • You must provide official documentation of the visa refusal
  • You must notify us as soon as possible after receiving the visa refusal

In case of visa refusal, we will refund the total amount paid minus any non-refundable costs already incurred (such as flight cancellation fees, hotel deposits, etc.) and a reasonable administration fee.

Changes to Bookings

If you need to make changes to your booking, such as changing travel dates, accommodations, or tour options, the following terms apply:

  • Changes requested more than 60 days before departure: We will accommodate changes when possible, subject to a reasonable administration fee of £50 per person plus any difference in price of the modified arrangements.
  • Changes requested 30-60 days before departure: An administration fee of £100 per person will apply, plus any difference in price.
  • Changes requested less than 30 days before departure: These will be treated as a cancellation and new booking, and our standard cancellation fees will apply.

All change requests are subject to availability and cannot be guaranteed. Some arrangements, particularly flights and special promotions, may not be changeable once booked, and this will result in cancellation charges of 100% if you wish to change.

Refund Process and Timeline

When a refund is approved, the following process applies:

  1. Submit your cancellation request in writing to [email protected] or through your online account.
  2. Our team will review your request and confirm the applicable refund amount based on this policy and the specific terms of your booking.
  3. Once approved, refunds will be processed back to the original payment method used for booking.
  4. Processing times for refunds are as follows:
    • Credit or debit card payments: 7-14 business days
    • Bank transfers: 10-20 business days
    • Other payment methods: varies depending on the method

Please note that while we process refunds promptly on our end, the actual time for funds to appear in your account may vary depending on your financial institution or payment provider.

Partial Services and No-Shows

No refund will be provided for any unused or partially used travel services, including:

  • Accommodation not used
  • Missed tours or activities
  • Early departure from a tour
  • Services skipped by choice

If you fail to join a tour, arrive on the wrong day, or miss a flight or other service without notifying us in advance ("no-show"), you will not be entitled to any refund.

Exceptions and Special Packages

Certain special packages, promotional offers, or third-party services may have different refund policies. These exceptions include:

  • Last-Minute Deals: Bookings made under our "Last-Minute Deals" program are generally non-refundable.
  • Special Event Packages: Tours centered around specific events (festivals, sporting events, etc.) may have stricter cancellation policies.
  • Third-Party Services: Some services provided by third parties (such as certain guided tours, adventure activities, or specialized experiences) may have their own cancellation policies, which will be communicated at the time of booking.
  • Group Bookings: For groups of 10 or more travelers, custom cancellation terms may apply and will be specified in your group contract.

Any exceptions to our standard refund policy will be clearly communicated during the booking process and in your booking confirmation.

Complaints and Service Issues

If a service issue could not be resolved satisfactorily during your trip, you may submit a complaint in writing within 28 days of your return. Please provide all relevant details and documentation to support your complaint. We will investigate and respond within 14 business days.

In cases where we verify that services were not provided as promised, we may offer compensation in the form of a partial refund, travel credit, or other appropriate remedy, depending on the nature and severity of the issue.

Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Any changes will be effective immediately upon posting the updated policy on our website. The policy that was in effect at the time of your booking will apply to that booking.
